POSITION SUMMARY

Reporting to the Membership Services Manager, the Elders Coordinator is responsible for organizing and facilitating Elders’ meetings, events, and program activities, providing travel assistance as required, and for administering the Elder’s Emergency Housing Repair Program (“EEHR”). This job includes occasional physical movements to assist elders in travel and out on the land excursions.

SPECIFIC RESPONSIBILITIES

Organizes at least 6 annual social and/or educational events for the Elders

Organizes and facilitates the monthly Elders’ meeting including agenda and action items for monthly meetings

Provides Elders with transportation to meetings and outings as requested Ensures the Elder’s van is properly maintained and serviced

Administers records management of financial files, Elder budgets and reports

Informs Elders of Membership meetings and community events at least one week in advance; Arranges the registration, bookings, and travel requirements for out-of-town events

Creates program activities that includes cultural, leisure and wellness activities

Prepares the monthly newsletter article(s); Maintains and updates the calendar regularly Organizes yearly special events (i.e. Christmas, Easter, Thanksgiving, Elder’s Day, Flower Day, Remembrance Day, and Elders Gathering Conference)

Assists Elders with the application for the EEHR program

Maintains Elders policy and guidelines, terms of reference, and three-year strategic plan Assists the Elders Chair person in preparing the annual report to Chief & Council

Support the Membership Services department as requested by the Manager of Membership Services Performs all duties and responsibilities in accordance with Westbank First Nation policies, standards, and procedures and other duties and responsibilities as necessary in the performance of the position as assigned by the Membership Services Manager

Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of Westbank First Nation

 

 

QUALIFICATIONS

EDUCATION/TRAINING/CERTIFICATION

 

Administrative Assistant Certificate or Office Assistant Certificate

Valid BC driver’s license with an acceptable driver’s abstract and access to reliable transportation is required; Class 4 driver’s license would be considered an asset

First Aid Level 1 or Emergency First Aid-Community Care required Acceptable Criminal Records Check with Vulnerable Sector Search required

EXPERIENCE

Minimum of two (2) years’ administration experience Experience working with First Nation communities

Experience working with the Elderly and or people with disabilities is considered an asset Experience in budgeting and reporting

Experience organizing and facilitating meetings, working with small and large groups, and organizing and planning activities and events

Experience working with office equipment such as fax machines, photocopiers, etc. Experience working with Computer programs; Word, Excel, Power Point and Publisher

 

OTHER QUALIFICATIONS, KNOWLEDGE AND SKILLS

Excellent interpersonal and strong communication skills, both oral and written Maintains a professional appearance

Organized, reliable, and accountable Ability to advocate for the Elderly

Ability to work as a part of a team, independently, and with minimal supervision Ability to move over terrain, lift and carry gear

Ability to lift at least 25 lbs. to support elder
