Job Description

Term: Full-Time Regular (37.5 hours per week)

Closing Date: open until filled

Reporting To: Administrative Supervisor

Overview of Position

The Receptionist is responsible for providing secretarial, clerical, and administrative support in order to ensure that Band Office services are provided in an effective and efficient manner. The Receptionist is the first point of contact for all visitors and plays an integral role in ensuring people are provided with a positive experience and image for the USIB.

Duties and Responsibilities:

  • Ensuring the office is open at 8:30am and closed at 4:30pm Monday – Friday
  • Keeping the front desk, reception area, boardrooms, and kitchen clean and organized daily
  • Answer all incoming calls and relevant emails, and resolving inquiries whenever possible
  • Direct calls to the appropriate individuals and taking messages when required
  • Greet, assist, and direct all visitors to the appropriate USIB staff
  • Pick-up, open, date stamp, scan, and distribute general mail daily
  • Date stamp and distribute mail marked confidential – do not open
  • Maintain the office supplies inventory for the administrative office
  • Maintain a schedule for boardroom bookings
  • Assist in the preparation of meetings as required and directed by the Administrative Supervisor or their designate
  • Posting communications to the USIB social media platforms and website as directed by the Administrative Supervisor or their designate
  • Updating the USIB staff in/out board daily
  • Receipting cheques into Xyntax
  • Receiving and receipting of Social Housing rent and providing all documentation to finance
  • Must maintain strict confidentiality guidelines of all records, materials, and communications concerning clients, staff, and
  • Performs other duties and responsibilities as required and in accordance with the USIB policies and procedures, or as directed by the Administrative Supervisor or their designate.

Education & Experience:

  • High School Diploma – Required
  • Minimum One (1) year previous experience as a Receptionist
  • Additional certification in Microsoft Office applications is an asset

The successful candidate will have:

  • Professional attitude and appearance
  • Strong written and verbal communication skills
  • A valid driver’s license and acceptable driver’s abstract.
  • Ability to be resourceful and problem solve when issues arise
  • Excellent organizational and multitasking skills
  • Demonstrated positive customer service attitude
  • Must be reliable and punctual
  • Proficient with Microsoft Office and Adobe
  • Ability to lift supplies and materials from time to time (up to 50lbs)
  • Preference will be given to candidates with Aboriginal ancestry
